The Skilled Administrative Assistant role has the primary responsibility to provide administrative and secretarial support to relieve Executive, and/or Line Managers of administrative duties. This role executes data analysis tasks and will work on analysing complex problems, determines approach, compiles and analyzes data, and prepares reports/recommendations. This role coordinates activities between departments and outside stakeholders. The Skilled Administrative Assist will be required to work on activities of a critical or confidential nature.

Key Roles and Responsibilities:

  • Provides administrative and secretarial support to relieve Executive, and/or Line Managers of administrative duties

  • Executes some data analysis task

  • Provides assistance with organising and scheduling appointments/team meetings

  • Coordinates activities between departments and outside stakeholders

  • Works on activities of a critical or confidential nature

  • Provides assistance by planning meetings and take/capture detailed minutes

  • Provides assistance with ad hoc project requirements as and when required

  • Provides assistance in the preparation of regularly scheduled analytics and reports

  • Updates and maintains office policies and procedures

  • Orders office supplies and research new deals and suppliers

  • Provides assistance by booking travel arrangements as and when required

  • Submits and reconcile routine expense reports

  • Provides general support to visitors

  • Acts as the point of contact for internal and external clients

  • Plans office events as and when required

  • Provides assistance with any other administrative-type task requests

Knowledge, Skills and Attributes:

  • Excellent knowledge of office management systems and procedures

  • Excellent knowledge of office equipment, such as printers etc.

  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)

  • Time management skills and the ability to prioritize work

  • Excellent attention to detail and problem-solving skills

  • Excellent written and verbal communication skills

  • Organisational skills with the ability to multi-task

  • Ability to work on tasks of a critical/confidential nature

  • Ability to support Executive/Senior Leaders

Academic Qualifications and Certifications:

  • High school diploma or equivalent

Required Experience:

  • Solid demonstrated administrative experience in a similar type of role
