Description We are looking for a diligent and competent Administrative Assistant to join our team in Oklahoma City, Oklahoma. This role offers a contract-to-hire employment opportunity and is primarily focused on providing backup and support to our dispatching team. The Administrative Assistant will be an instrumental part of our team, ensuring smooth operations by managing inbound and outbound calls, scheduling appointments, and handling data entry tasks.

Responsibilities:

• Answer inbound calls and direct them to the appropriate department or individual

• Assist with dispatching tasks as needed, providing support to ensure efficient operations

• Manage data entry tasks, ensuring accuracy and attention to detail

• Handle email correspondence, responding to inquiries in a timely and professional manner

• Schedule appointments and manage calendars, ensuring all individuals are aware of upcoming commitments

• Utilize Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) to complete tasks and manage information

• Provide exceptional customer service, addressing inquiries and resolving issues promptly

• Aid in the coordination of inbound and outbound calls, ensuring effective communication channels

• Assist with other administrative tasks as needed, contributing to the smooth operation of our team. Requirements • Proficiency in Microsoft Office Suite including Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word

• Experience with handling inbound and outbound calls

• Strong customer service skills and ability to interact professionally with all levels of staff and customers

• Proven ability in data entry and maintaining accurate records

• Capable of managing email correspondence effectively and professionally

• Demonstrated ability to schedule appointments and manage calendars

• Experience in dispatching or coordinating tasks

• Strong organizational skills and attention to detail

• Excellent verbal and written communication skills

• Ability to work independently and as part of a team

• Proven problem-solving skills and initiative

• Willingness to learn new software and systems as required

• Ability to handle confidential information with discretion

• Demonstrated ability to prioritize tasks and manage time effectively.
